What information we collect


Depending on your relationship with us, we may collect:


For candidates: Name, address, email, phone number and other contact details; CV information such as employment history, skills, education, salary expectations; records of interviews, job opportunities you’ve been put forward for, and correspondence with us; compliance information (e.g. right to work documents, references, contracts, start and end dates, payment details if engaged as a contractor).


For clients and business contacts: Contact details (name, email, phone); records of our communications and the services we provide; invoicing and payment information where relevant.


We do not routinely collect “special category” data (such as health information or ethnicity). If we do for equal opportunities monitoring or to meet legal obligations, we will ask for your explicit consent or rely on another lawful basis permitted by law.


Why we use your information


We process personal data to connect candidates with suitable job opportunities; to maintain our relationship with you as a candidate, client, or contact; to comply with legal and regulatory requirements (e.g. right to work, tax, employment law); to manage contracts where we have placed you or you have engaged us; and to send you updates, news, or job alerts if you have opted in. Our lawful bases for processing are legitimate interest (recruitment services, maintaining relationships), consent (marketing and job alerts), and legal obligation (employment and tax law).


Who we share information with


We will only share your personal data when necessary: with clients, if you are a candidate being put forward for a role; with service providers who process data on our behalf (e.g. cloud storage, applicant tracking, payroll services) under strict contractual terms; and with public authorities where required by law (e.g. tax or immigration compliance). We do not sell your personal data.


How long we keep your data


Candidate records are retained for up to 24 months before we check whether you would like us to keep them. If you are placed in a role, certain records must be kept longer to meet legal obligations (tax, contracts, right to work, etc.). Client and contact data is retained for as long as the relationship is active, plus a reasonable period for business record-keeping.


Security

We store your data securely using technical and organisational measures to prevent unauthorised access. Our staff are trained in data protection, and third-party providers act only under our instructions. Please note that no internet transmission is completely secure; any data you send is at your own risk.


Your rights


You have the right to access the personal data we hold about you; correct inaccurate information; ask us to delete your data (where legally possible); restrict or object to certain processing; request a copy of your data in portable format; and withdraw consent where we rely on it (e.g. marketing). We do not make decisions about you based solely on automated processing.
